Common Challenges to an Online Board Meeting

Online board meetings are a great way to keep board members involved, and make decisions without the need to travel. A few common challenges may affect the effectiveness of your board meetings and hamper productivity.

Disconnections. Remote participants may have trouble connecting to a virtual conference, unlike those who attend in person. While this might not be an issue, it could cause a sense of disconnection and decrease engagement levels. Be sure to provide an excellent video conferencing solution that is user-friendly and offers excellent sound quality.

Inadequate documentation. Minutes must be accurate and clear. The minutes-taker should keep a record of all key discussions and decisions in writing to avoid confusion later on. In addition, you should consider investing in an electronic document management system that will allow for secure sharing and storage of meeting materials and records.

Low board member involvement. The camaraderie and discussions that take place in person between board members aren’t easy to replicate online. Try adding some break-out sessions, icebreakers or even a quiz to your meeting.

Time constraints. The time limit to discuss each item in an online board meeting can be a major problem. Be sure to allocate the appropriate amount of time for each discussion and adhere to it. Make sure not to overburden your directors’ minds with topics that are difficult to discuss.
